Privacy Policy

The General Data Protection Regulation (GDPR) will apply in Norway from July 2018.

This privacy law concerns, among other things, the storage and protection of your personal data.

First, apart from using 3rd party cookies and 3rd party services on our website (as declared below), we do not actively sell, trade, or otherwise transfer to outside parties any personal data unless we have a legal/legitimate purpose or your specific consent.

 

Who is responsible for processing of personal data and privacy?

Norsk Kjemisk Selskaps Røntegnkonferanse (The Norwegian X-Ray Conference) is an organization registered in Norway with the purpose to organize and promote the The Norwegian X-Ray Conference.

The president of our organizing committee is responsible for all personal data processing and operations in our organization. Please read below further information on how we manage your data.

What data are we holding?

We only processes information that is related to our purpose, core activity and relationship with you.

If you are just browsing our website:

§       Anonymized data to provide functionality on our website and track usages, links and web statistics. Other 3rd party services (like social media platforms where you have an account) may track usage through our websites social functions (video, social links, share etc.. )

If you subscribe to our Newsletter, email us or use our contact form:

§       We just collect your name and email address to keep you on our mailing list or for purpose of regular email communication.

If you register for our conference as participant, contributor or you submit abstracts we store and process the following personal information:

§       Contact details including email, phone numbers, address and other details you provided yourself when you signed up / registered / submitted

§       Information about payments managed through 3rd party PayPal service (we do not hold any transaction or credit card info)

§       Email and records of previous communications

 

How we use this data

§       To inform you of relevant news and information that you would expect to receive from us – this includes our newsletter, and information about our events and related activities

§       To maintain direct communications with you

§       To organize the conference (list of attendants, list of contributors, abstract submissions and program etc.)

 

How we manage and store your data

Your personal data are stored and managed securely within our externally hosted Website (xraynorway.no), Newsletter solution (Mailchimp), Office/ E-mail provider (ProISP), and PayPal (payment gateway) and we have a GDPR data processor agreement or similar guarantees of security and privacy with the providers for these services:

§      The website (xraynorway.no) is developed and hosted with our partner Frameworks AS (www.frameworks.no) in Arendal, Norway.

§      Our newsletter solution is secure and provided by Mailchimp.
Under MailChimp’s  Terms of Use and  Privacy Policy, each user promises that their use will be compliant with all applicable laws.

§     We also may store email conversations. Our email is hosted PRO ISP. 

§      We use the payment provider PayPal for invoicing of conference fees. We do not store credit card info or transaction info on our own systems.  See PayPal’s privacy policy

Only our organizing committee and technical core staff working at our solution provider Frameworks AS, have access to your personal data. We won’t forward or share your data to any third party outside our data processors, and if you like to have your data removed from our system you may contact us at any time and we will delete your data permanently.

Do we use Cookies and why?

Yes. Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your web browser (if you allow) when you browse the site. This enables the site’s or service provider’s systems to recognize your browser and capture and remember certain information. They are e.g. used to help us understand your preferences based on previous or current site activity, which enables us to provide you with improved services.
